Overview

The Database Marketing Coordinator is responsible for the internal scheduling and tracking of advertising projects and a broad range of administrative duties. This position will require initiative, judgment, independent decision making, and project management. The professional in this position must project warmth and enthusiasm toward internal and external visitors. This person will be a proactive member of the team by volunteering and participating in tasks, events and committees while providing input and suggestions. This position ensures that projects are completed on time and within budget by setting realistic timelines and guides the team toward those goals. Accuracy and attention to detail is extremely important. Performance under deadline pressure is expected; ability to multi-task a must. The Database Marketing Coordinator is responsible for establishing and managing project timelines, and milestones for all advertising and direct mail jobs. This role is important in establishing and meeting client expectations by delivering projects on time.

Responsibilities

Essential Functions:
- Manage the timeline of assigned projects from request through delivery, in-house creative
production needs are met on time and within budget.
- Effectively manage individual projects and communicate timing to the VP of Marketing and internal
departments.
- Budget and monitor costs against assigned projects.
- Provides status report for on-going projects.
- Proof, review, and edit all copy and content for accuracy, spelling, and grammar – this position is
directly responsible for accurate content.
- Manage design reviews and approvals.
- Ensure timely approvals on all final artwork among all stakeholders.
- Facilitate revisions to creative as necessary.
- Works with creative to send work through to print production and double checking / trafficking final
proofs.
- Maintain open communication with supervisor, at all times, regarding work issues.
- Preparation of weekly, monthly, quarterly financial reports.
- Maintain all department forms, tools, shared drive.
- Assist with variance research for monthly expenses.
- Maintain Marketing expense Budget.
- Maintain Activation Calendar and distribution
- Must have the ability to incorporate creative approaches to various projects by taking initiative and
working independently.
- Prepare reports and/or special projects, which may include data collection, coordination, final copy
preparation, distribution, etc.
- Develop messages and effectively use proper channels to ensure consistent, integrated and
comprehensive system of communications.
- Oversee production of monthly direct offers, including scheduling and proofing with internal team
and Database Marketing Director.
- Maintain offer schedules, notifications and calendars. Serve as the central communication hub for
all property Direct Marketing programs.
- Maintains and updates assigned reports on a daily, weekly, or monthly basis.
- Maintains professional relations with vendors and guests.
- Attend and participate in off property functions and events as assigned.
- Attend and participate in meetings, completing follow-up as assigned.
- Other duties as assigned.

Qualifications

Education and/or Experience Requirements:
(Related education and experience may be interchangeable on a year for year basis) Two years or more of marketing experience required, college degree preferred.
 
Additional Requirements: (Lic., Certs, Tests, etc):
- Must obtain and maintain valid licenses / certifications per Federal, State, and Gaming regulations.
- Prior experience in the Gaming industry strongly preferred.
- Prior experience in Tribal Gaming preferred.
- Prior experience opening new properties/outlets preferred.
- Must be at least twenty-one (21) years of age.

Additional Details

Knowledge of:

  • Advanced computer skills including Microsoft Office – Word, Excel and Outlook required;

PowerPoint and Visio strongly preferred.

  • Ideal background is an individual who has worked within the hospitality industry.
  • Excellent communication skills to set clear expectations with direct reports.
  • Attention to detail, strong organizational skills, excellent work ethic.
